What Your Board Receives

Board members are volunteers, and they have to explain every decision to their neighbors. We give you documents you can put in the board packet.

  • A written condition report with photos of each roof
  • An itemized scope and bid, laid out so it can sit beside other bids at a board meeting
  • The roof system specification and manufacturer, named in the proposal
  • A phasing plan and a resident communication plan: a plan email before work starts, morning A/C notices and day-by-day updates
  • Warranty terms in writing before anyone signs
  • License, certificate of insurance and W-9 on request
  • At closeout: final inspection, warranty documents and a photo record of the finished roofs

How We Keep Residents Informed

On a multi-building roof replacement, residents should never have to guess what happens next. We manage large projects closely, and communication is part of the plan from the first email to the final walkthrough.

Before work starts

  • One point of contact. Your manager and board have one contact at Shea from the first visit to closeout.
  • A formal plan email to residents. It explains the plan and procedure for the roof replacement. It goes out as a mass email, either to a resident list collected through your property manager or sent by your manager on our behalf.
  • Rooftop A/C units documented. Every unit is photographed before work begins.

Every work day

  • A morning A/C notice. Each morning, residents are told which rooftop A/C units will be disconnected that day. For example, if a building has 30 units, 10 may be scheduled that day.
  • Same-day A/C reconnection. Every unit disconnected that day is running again by the end of the same day. We recommend an HVAC contractor who works on site alongside our crew to disconnect and reconnect the units, and we coordinate the whole schedule with them.
  • Phased work. One building at a time, or one section at a time on larger buildings.
  • Protected walkways and daily cleanup. Walkways, entrances and parking areas are protected, and debris is cleaned up every day.

Throughout the project

  • Day-by-day updates. Residents get updates every day until the last roof section is finished.
  • A final walkthrough with your manager or board representative, with warranty documents and a photo record of the finished roofs.

Recent Project: A Multi-Building Condominium Community in Southwest Florida

We completed a TPO roof replacement at a multi-building condominium community in Southwest Florida. These are mid-rise buildings with interior courtyards, a pool and tennis courts close by, and many rooftop A/C units on every roof. The new white membrane went on one section at a time, with every seam heat-welded.

Residents stayed in their homes throughout the project.

Commercial property owners and general contractors can see how we run larger projects on our commercial TPO roofing page.

Permits, Code and Board Rules in Punta Gorda

  • Permits. Punta Gorda Isles is inside the City of Punta Gorda, so roofing permits there go through the city. Communities outside the city limits are permitted through Charlotte County. Elsewhere from Naples to Sarasota, we pull the roofing permit with the city or county building department that covers your property and handle the inspections.
  • Code. roof systems are built to the Florida Building Code wind requirements for your building's height and location, using Florida Product Approved components.
  • Competitive bids. Florida law generally requires condominium associations to get competitive bids for contracts above 5 percent of the total annual budget, including reserves, and HOAs above 10 percent. Our proposals are written to make that comparison easy.
  • Reserve studies. condominium buildings three stories or taller need a Structural Integrity Reserve Study that includes the roof. Those studies are performed or verified by a licensed engineer, a licensed architect or a certified reserve specialist. We can provide the roof condition documentation your engineer or reserve specialist asks for.
  • Community rules. many Punta Gorda communities set rules on roof materials and colors. We work from your governing documents and architectural guidelines.

General information, not legal advice. Your association's manager and attorney can confirm what applies to your community.

HOA and Condo Roofing Questions

Can residents stay in their homes during the roof replacement?

In most cases, yes. On a recent condominium project of ours, residents stayed in their homes throughout. We phase the work, email residents the plan before work starts, send updates every day, keep walkways protected and clean up every day. Your manager has one point of contact the whole time.

How do residents know when their A/C will be off?

Each morning, residents are told which rooftop A/C units will be disconnected that day. For example, if a building has 30 units, 10 may be scheduled that day. Every unit disconnected that day is running again by the end of the same day. The HVAC contractor we recommend works on site alongside our crew, and we coordinate the schedule.

Will you give us a bid our board can compare with other bids?

Yes. The scope is itemized, the roof system and manufacturer are named, and the warranty terms and exclusions are written out, so the board can compare proposals side by side.

Can you provide a certificate of insurance and a W-9?

Yes, on request. Your manager can add them to the vendor file before the board reviews proposals.

Do you only replace flat roofs?

No. TPO flat roofs on multi-unit buildings are our specialty, and we also replace tile and metal roofs on villas, clubhouses and common buildings.

Can you help with our Structural Integrity Reserve Study?

We don't perform the study itself. It must be performed or verified by a licensed engineer, a licensed architect or a certified reserve specialist. We can provide roof condition reports and photos your engineer or reserve specialist requests.

What warranty comes with a TPO roof replacement?

Our standard workmanship warranty on TPO roofs is 10 years. A 20-year workmanship warranty is available when the roof is installed under a manufacturer No Dollar Limit (NDL) warranty package, which carries a separate manufacturer fee. All terms are in writing before the board signs.
